 Board Meeting

Attendance: Matt Wenman, Tom Boord, Ramona Haskin, Ray Woods, Angela Barrus,

 

Music Showcase – Ramona presented the plans for the Music Show Case to be held on Thursday, June 18th from 7-9

                Linda Young (band) and Donetta Whiteley (choir) are co-chairs

                A 7 page outline was handed out, the following are notes on discussion items

                The board is extremely impressed with the planning, excellent follow through and great ideas that the committee has come up with

               

Required Dress Rehearsal  – Wednesday, June 17th from 2:30-4:30

               It was suggested that parent helpers be present – Ramona would like the adults who will be involved with the Showcase event to be at this dress rehearsal is

Family Price (living in one household) was vetoed

Newspaper - Ray will submit advertising to the newspaper

Invitation to families will be given to students by Mr. Wenman along with the instruction sheet about the Showcase

Dessert Cost – Ramona will seek advice from the two caterers and discuss with the co-chairs and Mr. Wenman

                Ticket Cost - $3.00 per person, patrons will be free and other than them there will be no free tickets unless there is a financial need TBD by Mr. Wenman

                                Family Price (living in one household) was suggested $15.00 too low, $20.00 may be better but no decision was made on this

                Staging – Ray will investigate staging for the band

                Clean Up - Tom will organize a clean up crew (Ramona advised 20 if quick clean up is the desire)

                Raffle – Tom is investigating the proper way to run the raffle

                 Ramona will  add a Raffle Table to the Commons’ Diagram.

Tickets will be sold and the drawing will be for three items

1.  Basket Ray’s wife will create  this and it will include the chiropractic and acupuncture gift certificates in it along with other items

2.  The Seattle Bites Food Tours gift certificates will also be a raffle item

                                                3.  Directing or being able to appoint someone else to direct the band will also be a raffle item

Email to go out to parents – not sure who will send this out – Maybe Ramona since she may think of more needs to add to the wish list

Program – will be nicer than any other program from the year, Ramona will do them and they will include mention of the patrons and the companies who have contributed to this event

Photo CD’s – Ray will make CD’s available for purchase at cost

DVD’s – Ray will post music to the website

Order forms will be available at the Showcase provided by the Showcase committee

DVD’s – Ray will post music to the website

 

Email needs to be sent out to music parents, we didn’t determine who would do it but it may be wise for Ramona since she needs to time it with finding out about a couple of things that she is investigating

Music Showcase

We’re very excited about this first time, one of a kind event

We are in need of a few things and wonder if you have access to any of the following

                Staging

                Draping and/or drape framing to hang behind the band

                                Black sheets (that we would need to alter, to hang behind the band)

                Photos of any music events from this year

Music Showcase cleanup crew volunteers – please contact Tom Boord to sign up tomboord@comcast.net or show up in the gym (with your friends J) after the event

               

 

Costumes – Mr. Wenman wants the choir to wear long green dresses, white shirts, black pants and green ties by 2009-2010

                He also wants the band to wear long black dresses, black pants, white shirts and black bow ties by 2009-2010

                Uniform ordering information will be available during school registration time, how still needs to be determined

Patti Moore is currently sewing cumber buns and bow ties for the boy Jazz Band members

Angela will ask Patti if she can look into uniform ideas for next year, Ramona will forward the email that she sent out about uniforms to her.

                He would like to see the students pay $15.00 and receive school owned uniforms to wear and turn back in at the end of the year

                It was agreed that if Music Boosters had to pay for the difference it would be cost prohibitive and that many families are willing to pay to set their children up for success in sports and would be willing to do so for music

It was agreed that Music Boosters would be happy to help offset part or all of the cost of uniforms for students who are in financial need

It was suggested that students pay for their uniforms for the first year or two and be invited to donate them at the end of the year and then start signing out the clothing and move towards charging each student $15.00 once the music program owns a larger number of uniforms.

It was also suggested that the girls dresses be handmade but Mr. Wenman would rather have uniformity from year to year, understanding that the “Mom’s who sew” option will not be available every year

Tom offered that he can obtain button down men’s shirts for between $5-8 at San Mar

               

Amendment to the Bilaws

Article 6, Section 3 was approved with the suggestion that the Music Boosters consider aligning their election dates with the PTA some reasons for doing so are

1.        We have been asked to work more closely with the PTA from here forward

2.       If a parent is on the board and their child graduates they have little vested interest in staying “plugged in”

Concern was expressed about changing the election from October to June because this doesn’t give 6th grade parents an opportunity to run for a board position.  We have created a flyer that will be sent out to all 5th grade parents inviting them to attend our next Music Booster Meetings and they are being informed of board positions being open for next year.  If 6th grade parents miss this information there are still many ways that they can serve the Music Boosters, being on the board isn’t necessary to help out

 

                Tom is investigating the PTA BiLaws and will report on them at the May 19th Music Boosters meeting?

 

Amendment to Bylaws Twin Falls Middle School Music Booster Association, Inc

Article 6

Section 3. Election and Term of Office for Board Directors.  The four officers and the three Executive Board members shall be elected at the final general meeting of the members of each school year, for a term of one year. Officers may serve any number of consecutive terms. Executive Board members may serve each position for one year.  Consecutive terms may be served if representing a different grade level each year.  The term for Board of Directors shall run from last day of school until June 1st of each year.

 

Recruiting You Tube Movie – Ray will personalize the movie to TFMS and will make copies available for Mr. Wenman to use next year to promote the music program.  It may also be posted on the music boosters website TBD by Mr. Wenman

 

Music from 2008-2009 – will be posted the website by Mr. Wenman
